Thank you for your interest in participating
in the Keystone Conference. Below is information
concerning vendor and advertising rates.
Vendor
tables and space is limited so please register early.
Also, the earlier you register, the earlier we can post
information about your business/services to our attendees!
Your vendor registration fee includes free listing on the
Keystone Conference website describing your products and/or
services as well as a link to your website. Although we
list all participating vendor names in the 2010 Keystone
Conference program booklet, we highly suggest in placing an ad
to maximize your presence during the conference.
Don't forget to enjoy yourself, too!
Vendors and their associates are invited to the receptions held
each night. If you would like to join us for the other
evening activities, please indicate in the Miscellaneous section
of the online form what activities you would like to participate
in.
You may also want to consider becoming an
official sponsor of the 2010 Keystone Conference. To
recognize the benevolence of our sponsors, we announce and thank
each by name at our luncheons; mention and thank each of our
sponsors on the Benevolence/Sponsor page in the program booklet;
include a full-page black & white ad (or $50 credit towards a
color ad) in our program booklet as well as allow you the
opportunity to include any additional advertising material in
our registration packet. This important program provides
the funds necessary to support the conference activities as well
as scholarship money for those who need it. General
Sponsorships are only $200.

- All vendors must register to be
included in the conference. All registration
material & payment must be received by February
25th, 2010 to be included in the program booklet.
- Vendors who solely work out of
their rooms must still pay the vendor registration
fee.
- Vendor registration fee does not
include admission to any presentations, seminars,
workshops, activities and meals. Vendors and
their associates are invited to the receptions.
- Each vendor may have up to one
associate accompany them. The additional
associate must be registered prior to the conference
beginning and are expected to be working in the
vendor area.
- The vendor area is open from 9:00
am to 4:30 pm Thursday, Friday & Saturday and is
located in the 'Assembly Area' on the main floor of
the hotel.
- The vendor area inside the hotel
also doubles as our reception area for the Friday
and Saturday night receptions starting at 4:30 and
5:30 pm, respectively. Please, all vendors
must immediately begin to remove their
wares/material at 4:30 to make way for these
receptions.
- Non-profit organizations are
required to provide their Tax EIN.
- The hotel does have a lockable
storage room near the vendor area where items may be
stored overnight. The Keystone Conference,
TransCentralPA nor the Sheraton Harrisburg-Hershey
Hotel takes no responsibility for lost or
stolen property.
- The hotel has asked us to include
the following in our Terms of Agreement with
vendors:
1. Special equipment requiring company engineers
or technicians for assembly, servicing,
preparatory work and operation may be executed
without the “House Electrician.” However, all
service connections and overload protection to
such equipment must be made by the “House
Electrician” only.
2. All material and equipment furnished by the
SHERTON HARRISBURG-HERSHEY for this order shall
remain the SHERATON HARRISBURG-HERSHEY property
and shall be removed only by the SHERATON
HARRISBURG-HERSHEY.
3. All materials used must be non-flammable to
conform with PA Fire Regulations and NEC
(National Electric Code). Electrical wiring and
equipment installation must conform to
appropriate PA and NEC codes. Material not
conforming with such regulations will be removed
immediately at exhibitor’s expense. Large
equipment and motors may be operated only with
consent of Director of Engineering Services.
4. No nails, screws, or bracing wires used in
erecting displays may be attached to the
building. All property destroyed or damaged by
exhibitors must be replaced to its original
condition by exhibitor or at exhibitor’s
expense.
5. The hotel will not be responsible for any
injury, loss or damage that may occur to the
exhibitor, exhibitor’s employees or property, or
to any other person prior, during or subsequent
to the period covered by the exhibitor’s
contract. Each exhibitor expressly releases the
hotel from such liabilities and agrees to
indemnify the hotel against any and all claims
for such injury, loss or damage.
6. All prices quoted for equipment and labor are
subject to change.
7. Cables shall not run through or across
doorways, aisles and walkways so that they are
not subjected to electrical fault damage by door
closing, foot traffic, carts or equipment
traffic.
8. Hotel management has the right to refuse hook
up of any and all equipment not conforming to
city and national codes.
9. Wall and floor outlets are not considered
part of booth space.
